How the number is worked out
- We take your monthly ticket volume × average handling time × 12, convert to agent hours and price them at the loaded hourly cost, the annual cost of handling that volume by hand.
- We apply the share deflected or auto-resolved (the repeat, low-judgement questions automation answers end-to-end) to get the hours and money returned.
- We net off running cost and weigh the build against the yearly saving for payback and the 3-year net benefit.
What we assume
- Handling time should include reading, resolving and wrap-up: the full touch, not just the reply.
- 47 productive weeks a year; loaded (fully-burdened) agent cost.
- Deflection frees agent capacity for complex, higher-value tickets rather than only cutting headcount.
- Time only. Faster response, 24/7 cover and higher CSAT are additional gains.
Questions
- What share of support tickets can automation realistically deflect?
- It depends on how repetitive your volume is. Where a large chunk is order status, returns, password resets and FAQ-style questions, 30–60% deflection is achievable. Highly bespoke or emotional queries stay with people: automation triages and drafts, humans decide.
- Does deflection mean cutting the support team?
- Usually not. Most operators reinvest the freed hours into faster responses, better coverage and the hard tickets that actually need a person, so quality rises while cost per ticket falls. The saving is real capacity either way.
- What should I set for handling time?
- Use your average handle time end-to-end. For email and chat that is often 5–12 minutes once you include reading, resolving and wrap-up. If you do not track it, start around 8 minutes and refine.
- How do I know which tickets are safe to automate?
- Start with the high-volume, low-risk, repeatable ones and keep a human in the loop for the rest. A free diagnostic can map your ticket mix and show where deflection pays off first.
