How the number is worked out

  • We take your monthly volume × minutes per document × 12 and convert it to hours, priced at the loaded hourly cost, the real annual cost of keying and checking by hand.
  • We apply the share the OCR pipeline handles to get the time and money returned each year. Documents drop through automatically; people only touch the exceptions.
  • We net off the running cost and weigh the build against the yearly saving to get payback and the 3-year net benefit.

What we assume

  • Minutes per document should include entry, cross-checking and fixing typos: the whole handling loop, not just typing.
  • 47 productive weeks a year; loaded (fully-burdened) hourly cost.
  • Extraction accuracy leaves a slice for human review, which is why the automated share is under 100%.
  • It counts time only: the value of fewer errors and faster close is on top.

Questions

How much of document data entry can OCR automation actually remove?
For structured or semi-structured documents (invoices, statements, forms, airway bills) a well-built pipeline typically handles 80–95% straight through, with people reviewing only the exceptions it flags. Messier, highly variable documents sit lower until the model is tuned.
Does this include the cost of errors, not just typing time?
The calculator prices handling time only, to stay conservative. Manual keying also carries a rework and error cost: a mis-keyed invoice chased weeks later. Automation with an accuracy engine cuts that too, so the true return is usually higher than the figure shown.
We only process a few hundred documents a month. Is it still worth it?
