How the number is worked out
- We take the lines you match a month × minutes each × 12, turn it into hours and price it at the loaded hourly cost, the true annual cost of reconciling by hand.
- We apply the share auto-matched so clean matches clear automatically and people only chase genuine exceptions.
- We net off the running cost and compare the build to the yearly saving for payback and the 3-year net benefit.
What we assume
- Minutes per line should cover the whole loop: matching, opening exceptions and investigating breaks.
- 47 productive weeks a year; loaded (fully-burdened) hourly cost.
- A slice always needs human judgement: that is the residual left un-automated.
- Time only. Faster month-end close, fewer missed discrepancies and lower audit risk are extra.
Questions
- How long should reconciliation take once it is automated?
- For a month-end task that ties people up for days, the aim is hours. One air-cargo reconciliation we built went from over five days to about two hours a cycle at roughly 97% accuracy: the engine clears the clean matches and surfaces only the breaks worth a human’s time.
- What share of lines can be auto-matched?
- With reliable identifiers and consistent formats, 80–95% typically match straight through. Where references are missing or messy it starts lower and climbs as matching rules are tuned. Setting 70–80% keeps the estimate honest.
- Which reconciliations are the best candidates?
- High-volume, rules-based matching: invoices against an operational system, payments against bank statements, orders against deliveries, intercompany balances. If the logic can be written down and the volume is real, it automates well.
- Is the saving really worth the build?
- Model it above. If payback lands inside a year, it usually is, before you even count the risk reduction. A free ROI diagnostic will pressure-test it against your actual close.
