How the number is worked out
- We take the reporting time (people × hours a week × 47 weeks) and price it at the loaded hourly cost. That is the cost of assembling the same numbers by hand.
- We apply the share a pipeline can automate: the pulling, joining and formatting a machine does far better, leaving people to read and act on the result.
- We net off running cost and set the build against the yearly saving to get payback and the 3-year net benefit.
What we assume
- Count the whole cycle: exporting, cleaning, stitching spreadsheets, formatting and re-sending.
- 47 productive weeks a year; loaded (fully-burdened) hourly cost.
- A share of judgement (commentary, interpretation) stays human, so automation is under 100%.
- Time only. Fresher numbers, fewer copy-paste errors and decisions made sooner are on top.
Questions
- What part of reporting can actually be automated?
- The mechanical majority: pulling data from source systems, cleaning and joining it, refreshing dashboards and generating the recurring pack. That is usually 70–90% of the hours. The judgement (what the numbers mean and what to do) stays with your team, now freed to focus on it.
- We already have a BI tool. Isn’t reporting solved?
- A BI tool only helps once trustworthy data reaches it. Most manual reporting time is spent upstream: exporting, reconciling and stitching spreadsheets by hand. Automating that pipeline is where the hours come back, and it is what makes the dashboard actually reliable.
- How should I estimate the hours per week?
- Add up recurring reporting across the team: the weekly management pack, month-end numbers spread over the month, ad-hoc pulls. If two people each lose the better part of a day a week, six to eight hours each is a fair starting point.
- What is the payoff beyond the saved hours?
- Numbers you trust, available sooner, without the copy-paste errors that creep into hand-built reports, so decisions get made on time. A free diagnostic can pinpoint which reports to automate first.
